Customizing Your AI Assistant

Personalize your AI's name, personality, and behavior

Getting Started

Go to Dashboard → Settings and scroll to the "AI Settings" section. Here you can customize how your AI assistant interacts with customers, from its name to its conversation style.

Assistant Name

Give your AI assistant a custom name that reflects your brand personality. This name will be used in conversations with customers.

  • Examples: "Mario", "Chef Bot", "Order Helper", "Sofia", "Alex"
  • Best practices: Choose a name that matches your restaurant's vibe - casual names for casual restaurants, professional names for upscale establishments
  • If left blank: The AI will use a generic name like "AI assistant"
  • Character limit: Up to 50 characters

The assistant name helps create a more personal connection with customers and makes conversations feel more natural.

Special Instructions

Special instructions allow you to guide your AI's behavior, personality, and how it handles specific situations. This is where you can really make your AI assistant unique to your business.

What to Include
  • Personality traits: "Friendly and enthusiastic", "Professional and knowledgeable", "Casual and laid-back"
  • Business-specific behaviors: "Always mention our daily specials", "Ask about dietary restrictions", "Highlight our locally-sourced ingredients"
  • Recommendation style: "Recommend items based on customer preferences", "Suggest popular items first", "Emphasize our signature dishes"
  • Communication preferences: "Use emojis sparingly", "Be concise when explaining menu items", "Always confirm order details"
  • Special offers: "Mention our happy hour specials between 4-6pm", "Promote our weekend brunch menu on Fridays"
Example Instructions

"Be friendly and enthusiastic. Always mention our daily specials when greeting customers. Ask about dietary restrictions and recommend items based on their preferences. Highlight our locally-sourced ingredients and signature dishes. Use emojis sparingly to maintain a professional tone."

Character limit: Up to 500 characters. Be specific and clear - the more detail you provide, the better your AI will follow your instructions.

Conversation Style

Control how your AI assistant responds to customers with three key settings that work together to create the perfect tone for your business.

Response Length

Controls how detailed your AI's responses are:

  • Concise: Brief and to the point. Best for fast-paced environments where customers want quick answers. Responses are typically 1-2 sentences.
  • Normal (Default): Balanced detail with moderate information. Good for most restaurants. Responses are typically 2-4 sentences.
  • Detailed: Comprehensive responses with full context. Best for upscale restaurants or when you want to provide extensive information. Responses are typically 4+ sentences.
Emoji Usage

Controls how often your AI uses emojis in responses:

  • None: No emojis at all. Best for formal, professional establishments.
  • Sparse (Default): Very rarely, maximum 1 emoji per response. Good for most businesses that want a friendly but professional tone.
  • Moderate: Occasionally, 1-2 emojis per response. Adds warmth without being overwhelming.
  • Frequent: Regularly, 2-3 emojis per response. Best for casual, fun establishments that want a very friendly, approachable vibe.
Formality Level

Controls the tone and formality of your AI's language:

  • Casual: Relaxed and informal. Uses casual language, contractions, and a laid-back tone. Best for casual dining, food trucks, or family-friendly restaurants.
  • Friendly (Default): Warm and approachable. Professional but personable. Works well for most restaurants and creates a welcoming atmosphere.
  • Professional: Polished and formal. Uses more formal language and maintains a refined tone. Best for upscale restaurants, fine dining, or corporate settings.

How These Settings Work Together

All these settings combine to create your AI's unique personality. For example:

  • Upscale Restaurant: Professional formality + Sparse emojis + Detailed responses = Sophisticated, informative assistant
  • Casual Cafe: Casual formality + Moderate emojis + Normal responses = Friendly, approachable assistant
  • Fast-Casual: Friendly formality + Frequent emojis + Concise responses = Quick, energetic assistant

Custom Knowledge Base

Upload a custom knowledge document to give your AI assistant access to additional information about your restaurant. This allows the AI to answer questions about your business history, policies, FAQs, special features, and more.

What to Include

Your custom knowledge document can contain any information you want your AI to know about your business:

  • Restaurant Story: Your history, founding story, mission, values, and what makes you unique
  • Frequently Asked Questions: Common customer questions and detailed answers
  • Policies: Return policy, refund policy, dietary accommodation policies, etc.
  • Special Features: Unique amenities, events, happy hours, special programs, loyalty programs
  • Location Information: Parking details, accessibility information, nearby landmarks
  • Event Information: Catering services, private dining, party packages, reservations
  • Dietary Information: Allergen information, vegetarian/vegan options, gluten-free options
  • Anything else: Any information customers might ask about that isn't in your menu
How to Upload
  1. Go to Dashboard → Settings and scroll to the "Custom Knowledge Base" section
  2. Click the upload area or drag and drop your file
  3. Select a file in one of these formats: .txt, .md, .markdown, .docx, or .rtf
  4. File size must be less than 500KB
  5. Click "Upload" to save your custom knowledge
How It Works

Once uploaded, your custom knowledge document becomes part of your AI's knowledge base. When customers ask questions, the AI will automatically search through your custom knowledge along with your menu to provide accurate, comprehensive answers.

For example, if a customer asks "What's your return policy?" or "Tell me about your restaurant's history," the AI will reference your custom knowledge document to provide the answer.

Best Practices
  • Be comprehensive: Include all information customers might ask about
  • Use clear formatting: Use headings, bullet points, and clear sections to organize your content
  • Keep it updated: Update your document when policies or information changes, then re-upload
  • Be specific: Include specific details, dates, times, and policies rather than vague statements
  • Write naturally: Write as if explaining to a customer - the AI will use this tone when answering

You can replace your custom knowledge document at any time by uploading a new file. The new file will replace the old one.

Saving Your Settings

Your AI settings are saved in separate groups:

  1. Assistant Name & Special Instructions: Click "Save" in the Assistant Name section to save these settings
  2. Conversation Style: Click "Save" in the Conversation Style section to save Response Length, Emoji Usage, and Formality Level
  3. Custom Knowledge Base: Click "Upload" after selecting a file to upload your custom knowledge document

Changes take effect immediately and will apply to all new customer conversations.

The more detailed your menu item descriptions and tags, the better your AI can answer questions and make recommendations. Combine rich menu descriptions with clear special instructions and a comprehensive custom knowledge document for the best results. Test different settings and see what works best for your customers!
